Cancellation & No-Show Policy

K-Flow Therapy

At K-Flow Therapy, appointments are managed on trust and mutual respect.
This policy exists to protect appointment times while supporting the sustainability of my work and the clinic.

1. Cancellation & Rescheduling

Please provide at least 24 hours’ notice if you need to cancel or reschedule your appointment.

  • Cancellations or reschedules made within 24 hours of the appointment time will incur a $50 cancellation fee.

  • This applies regardless of the reason, unless an exception is made at the clinic’s discretion.

2. No-Show Policy

If you do not attend your appointment without notice, this is considered a no-show.

  • No-shows will incur a $50 fee.

  • Missed appointments cannot be claimed through private health insurance.

3. Late Arrivals

Please arrive on time for your appointment.

  • Arriving more than 15 minutes late may result in the appointment being automatically cancelled.

  • In this case, a $50 late cancellation fee may apply.

  • If treatment can still proceed, the session time may be shortened to avoid impacting other clients, and the full appointment fee still applies.

4. Fees, Payments & Trust

  • K-Flow Therapy does not require deposits or prepayment.

  • I choose to operate on good faith and trust with clients.

  • Where applicable, a $50 cancellation or no-show fee will be issued as an unpaid invoice.

Outstanding invoices may affect future bookings.

5. Exceptional Circumstances

I understand that unexpected situations can occur.

  • Exceptions (such as illness or emergencies) may be considered.

  • All exceptions are assessed case by case and remain entirely at the clinic’s discretion.

6. Phone Enquiries & Online Booking Requirement

For clarity and consistency, all appointments are confirmed through the online booking system.

  • Even if you contact the clinic by phone, message, or in person, you will be guided to complete your booking online.

  • This ensures all clients review and accept the same terms before confirming.

During online booking, clients must agree to the following:

A $50 fee applies for late cancellations or no-shows.

Bookings cannot be confirmed without accepting these terms.

7. Appointment Reminders & Client Responsibility

As a courtesy, appointment reminders are automatically sent via Cliniko through both email and SMS.

  • Reminders are sent the day before your appointment at 10:00 AM.

  • Both email and SMS reminders clearly explain the cancellation and no-show policy, including the $50 fee.

  • All reminders are automated, and delivery logs are recorded within the Cliniko system.

As the earliest appointment at K-Flow Therapy begins at 12:00 PM, receiving a reminder at 10:00 AM the day prior is considered sufficient notice to cancel or reschedule within the 24-hour policy window.

While reminders are provided as a courtesy, it remains the client’s responsibility to:

  • ensure contact details are accurate, and

  • manage appointments accordingly.

Claims of not receiving a reminder do not exempt late cancellations or no-shows from this policy.

8. A Note on Respect

Each appointment time is reserved specifically for you.

Late cancellations and no-shows impact not only appointment availability, but also the sustainability of my work, my livelihood, and the clinic itself.

By respecting your appointment time, you help support:

  • fair access for other clients, and

  • the long-term sustainability of K-Flow Therapy.
